What holidays do we get off?

When New Year’s Day, Independence Day, or Christmas day fall on a Sunday, the following Monday is considered a holiday. When any other holiday falls on a Saturday or Sunday, employees receive a floating holiday.

How many vacation days do I get?

  • Employees earn vacation (VN) according to their accumulated years of continuous state service (seniority date). An employee’s VN balance is listed on his/her earnings statement, with any vacation carry-over (VC) hours. VN hours for part-time employees is prorated.

How much sick leave do I get? How is it earned?

  • Full-time employees earn five hours of sick leave per pay period. Sick leave is credited at the rate of .0625 hour for each hour in pay status. Part-time employees will earn a prorated amount if the employee is in pay status for less than 76 hours per biweekly pay period. Sick leave will not accrue while an employee is on an unpaid leave of absence. Sick leave cannot be used before it is earned.

What do the abbreviations on my time sheet mean (VN, SL, PH, LH, CT)?

What do the abbreviations “Div, Dept, Fund, Act, Acct” mean on my time sheet?

  • Division, Department, Fund, Activity, Account
    • Division – Your Division is Cooperative Extension – 45
    • Department- Each department has a specific 4 digit number- ask your Department Head or Supervisor
    • Fund (3 digits) – It depends on the funding source for your wages. In most cases it will be 104 (State GPR),143 (Federal Smith Lever funding), 133 (non-federal grants), or 144 (Federal Grants)
    • Activity – For Cooperative Extension, this will be either 5 (Research) or 6 (Administrative Support)
    • Account – (4 digits) 4 digit account # for  133, 143, and 144 funding. If the funding is 104, leave blank

What are Personal Holidays (PH)? How do I claim them?

  • Full-time non-represented classified employees are eligible for 36 hours of personal holiday per calendar year.
  • Full-time represented classified employees are also eligible for 36 hours of PH per calendar year.
  • PH hours are prorated for part-time employees the same way as legal holidays.
  • PH hours not used by the end of the last pay period of the calendar year will be lost.

WI retirement; who to speak with

When a classified employee indicates his/her intention to resign or retire, the employee’s supervisor needs to notify the Office of Human Resources immediately. The supervisor should then request a resignation letter from the employee, acknowledge it, and forward it to the Office of Human Resources. The Office of Human Resources will notify the Payroll & Staff Benefits Office.

403(b) investment choices

  • The Tax-Sheltered Annuity Program is a supplemental retirement savings program authorized by section 403(b) of the Internal Revenue Code. All University of Wisconsin employees, including student hourlies and graduate assistants — with the exception of research assistants, some employees-in-training, fellows, and interns — are eligible to participate. Eligible employees can enroll at any time.
  • Through the TSA Program you can invest a portion of your income for retirement on a pre-tax basis. Participation in the UW TSA Plan is voluntary. You make the entire contribution; there is no employer match.

Do I have to choose insurance (health, etc.) within the first 30 days or within the same calendar month that I am hired?

  • If you are a classified employee, you generally have two opportunities for enrollment in the State Group Health Insurance Program. The University does not pay for the first six months of your health insurance. After six months, the University pays most of your health insurance premium.
    • If you want health coverage as soon as possible, you must submit an application to your staff benefits specialist no later than 30 calendar days from the begin date of your appointment. You will pay the total premium for the first six months of your employment.
    • If you want health coverage when the University first contributes towards the premium, you must submit your application on or before the first of the month following the month in which you complete your first six months as a state employee in the Wisconsin Retirement System (WRS).
  • If you are transferring from another University System institution or state agency or if you are a new employee with at least six months of prior Wisconsin Retirement System service with a state agency, you must submit an application to your staff benefits specialist no later than 30 calendar days from the contractual begin date of your initial appointment with the University or your coverage may lapse.
  • Regardless of when you want your health coverage to be effective, you are strongly encouraged to submit a completed application as soon as possible to avoid missing your initial enrollment period.

How do I change health insurance vendors?

Employees may select any plan initially and may change plans during the Dual-Choice enrollment period (usually the months of September and October) for coverage effective January 1 of the next calendar year. This is generally the only time employees can select a different plan. Employees changing plans due to a Dual-Choice election will have continuous coverage with no exclusions for pre-existing health conditions.

What insurance is important and how do I use them?

Yes! Income Continuation Insurance (Disability)
(Please take time to discuss this insurance option with your payroll benefits coordinator at time of employment and why you may want to choose this one!)

Employees are initially eligible for coverage after completion of six months of WRS participation at any employer.

Must apply no later than 30 days after the WRS six-month anniversary. Coverage begins the first of month on/after the Benefits Office receives timely application. Coverage can also be obtained by providing medical evidence of insurability or through deferred enrollment after accumulating specific amounts of sick leave.
