Hotel Information

Individuals living more then 30 miles from Monona Terrace may stay in a hotel room paid by Cooperative Extension on Sept. 13 and Sept. 14. For those traveling long distances from the northern districts, there will be a limited number of hotel rooms on hold for September 12, for each hotel listed, deadlines remain the same.

Please Use Conference Hotels: Cooperative Extension has contracts with the hotels listed below and rooms in these hotels will be direct billed. There should be enough rooms on hold in these hotels for all participants. However, if all hotels are full when you make reservations, you may stay at another Madison hotel and request reimbursement with a state Travel Expense Reimbursement form (state rate applies).

Two hotels are within walking distance, The Best Western Inn on the Park (closest) and Lowell Hall (long walk). Transportation between conference hotels and the Monona Terrace will be arranged with hotel shuttles and special conference buses.

How to Make Reservations: Make your own hotel reservations. Blocks of rooms have been reserved at the hotels listed below under the name “Cooperative Extension”. Ask for a room under this block at any of these hotels. Please have your roommate’s name ready when you make your reservation.

Most Rooms: Standard, two beds, nonsmoking, intended for two people. Roommates: We ask that conference participants stay with a roommate to economize and to assure enough rooms for everyone. Please do not make your hotel reservation until you have a roommate. When you call the hotel, make the reservation for yourself and your roommate. This will save additional calls back to the hotel that might cause confusion or errors.

Single Rooms: There are a limited number of single rooms (50) being held at two hotels (Sheraton Hotel and Holiday Inn Express). If you need a single room, please make your reservation at one of these two hotels. Please do not use these hotels unless you really need a single room. In order to keep conference costs down and assure enough hotel rooms for everyone, we encourage participants to share double rooms.

Hotel Reservation Deadline: Aug. 12, 2005. Rooms in the Cooperative Extension blocks will not be held after Aug. 12.

Billing: Rooms at the hotels listed below will be direct billed to Cooperative Extension. In some cases, you may need to secure the room with a personal credit card. Even though the rooms will be direct billed, your personal credit card will probably remain on file with the hotel for incidentals (telephone calls, pay-per-view movies, beverages and room service). Cooperative Extension will not pay for incidentals and hotels have been instructed to collect payment for these items if used by the guests.

Transportation to and from the Monona Terrace: Hotels will offer shuttle service and Cooperative Extension will offer a conference bus. Everyone is urged to use hotel parking rather than driving downtown and using public parking. More transportation details will be posted on the website later this summer.
