All counties are welcome to attend either meeting, but typically the counties will divide as follows: North: Marinette, Oconto, Brown, Door, Kewaunee, Outagamie, Winnebago, Calumet & Manitowoc AND South: Fond du Lac, Sheboygan, Washington, Ozaukee, Waukesha, Milwaukee, Racine & Kenosha

EAST-METRO REGION ALL-COLLEAGUE MEETING GUIDELINES
Fiscal Year 2012-2013

PARTICIPATION
Staff participation in the February Regional All-Colleague meetings are expected.  The East-Metro Region will hold a region-wide all-colleague meeting on Wednesday, February 20 and Thursday, February 21, 2013. Requests to be excused from participation in the February regional meeting should be forwarded to the Regional Office at least two weeks prior to the meeting date.

Regional meeting opportunities are designed to contribute to staff development and programming efforts by providing face-to-face opportunities:

  1. to increase individual and group subject matter content knowledge and process skills,
  2. to identify, discuss, plan, and evaluate cooperative programming efforts, and
  3. to enhance program and cross program area teamwork, networking, and collegiality.
  4. WNEP Nutrition Educators are welcome to any in-services they feel will be of value to them. Group participation will be coordinated by WNEP and Family Living Regional Program Area Representatives.

REGISTRATION
The February All-Colleague meetings are coordinated through the regional office.  For the meetings coordinated by the regional office:

  • Advance notice of intent to participate is needed by promoted date. 
  • Registration information will be distributed well in advance of meeting date via department heads and county directors.  Please submit one response per county.
  • Lodging reservations are the responsibility of the individuals.
  • Stay tuned for more information on this event.

REGIONAL PROGRAM AREA MEETING - PLANNING GUIDELINES
Each program area is expected to plan program area meeting dates.  When appropriate, every effort should be made to meet on the third Wednesday of the month (scheduled regional meeting dates), at a common location, and scheduled from 9:30 am - 2:30 pm, to facilitate ride sharing.  Facilities, finances, etc., are the responsibility of the program area representative (or their designee) for those meetings not coordinated through the regional office. Program area agendas are the responsibility of the program area.

BAD WEATHER CANCELLATION POLICY
A policy was developed in 2006 regarding what to do if bad weather is anticipated for a meeting date.  The policy was reviewed during this meeting, and will be added to the ‘Things to Consider When Planning Regional Meetings’ document.

It was determined that due to size of the region, and the amount of distance that staff, speakers, presenters, and guests need to travel, a decision of whether to cancel any meeting would be done before the end of the business day on the DAY BEFORE the scheduled meeting date.

Regional All-Colleague Meetings:
For All-Colleague Meetings, where the regional office is in charge of all meeting arrangements, the regional office will make the decision of whether to cancel the meeting, and will make all of the contacts.  An email will be sent out to staff, speakers, presenters, guests and specialists before 4:30 pm to notify everyone that a meeting has been cancelled.  The regional office will also change their voice message to indicate that the meeting has been cancelled.

Regional Program Area Meetings:
For Program Area Meetings, where the program area representative/liaison (or designee) is in charge of all meeting arrangements, each program area will be responsible for making the decision of whether to cancel the meeting or not.  If more than one program area is meeting, program areas should work together to make the same decision.  The regional office is available for consultation in making the decision.  Each program area is responsible for making contacts with their staff, speakers, presenters, specialists and guests before 4:30 pm if the meeting is cancelled.

The regional office is willing to send out an additional email to the entire district to indicate that the meeting has been cancelled, but the program areas are still responsible for contacting their people.  The district office will also change their voice message to indicate that the meeting has been cancelled.

NOTE: If the weather is questionable, but the meetings will still be held, the regional office is also willing to change their voice message to indicate that the meeting is still scheduled (program area representatives/liaisons (or their designee) are asked to contact the regional office to make a request).

Regional Spring WACEC Meeting:
For Spring WACEC Meetings, where the regional office is in charge of all meeting arrangements, the regional office will make the decision of whether to cancel the meeting (in conjunction with the WACEC president, and possibly one or more department heads).  The regional office will contact each department head or county program assistant via phone & email before 4:30 pm.  Each county will be asked to contact their WACEC members to let them know that the meeting has been cancelled.  The regional office will also contact any speakers, presenters, legislators, guests, and specialists.  The regional office will also change their voice message to indicate that the meeting has been cancelled.
