Cooperative Extension Email Nicknames

The following files are meant for staff that have their CES email forwarded to their local County or College account. These files and instructions are not meant for users who connect to our MS Exchange server via Outlook or OWA.

DO NOT INSTALL THESE FILES WITHOUT FIRST CONSULTING WITH YOUR LOCAL IT DEPARTMENT.

These contact lists are stored in a comma separated value format (aka .csv format). This format is compatible with most email software used in the counties. Please direct your local IT representative to this page in order for them to assist you with adding these contacts to your email client.

To add the current list of e-mail addresses for Cooperative Extension employees and lists to your email client, right-click on the two files listed below, and select Save Link As ... (Netscape) or Save Target As (MS Internet Explorer).

When the Save As dialog box opens, you need to save the files to a folder on your computer. We recommend saving the files to your "My Documents" folder.

Your local IT department will be able to assist you in adding these contacts to your email client. The following is a brief example of how the process works with MS Outlook 2003.

Import Contacts from Excel or a CSV File into Outlook

To import contacts from a CSV file or from Excel into Outlook:

  • Select File | Import and Export... from the menu in Outlook.
  • Make sure Import from another program or file is highlighted.
  • Click Next >.
  • Now make sure Comma Separated Values (Windows) is selected.
  • Click Next >.
  • Use the Browse ... button the select the desired file.
  • Typically, choose Do not import duplicate items.
  • Click Next >.
  • Select the Outlook folder you want to import the contacts to. This will usually be your Contacts folder.
  • Click Next >.
  • Click Map Custom Fields ....
  • Make sure all columns from the CSV file are mapped to the desired Outlook address book fields.
  • You can create new mappings by dragging the column title to the desired field.
  • Any previous mapping of the same column will be replaced with the new.
  • Now click Finish.
