The Basics of Hiring WNEP Limited Term Employees in 14 Steps!

  1. Review the Policies and Procedures for Hiring LTE's in UW-Extension at: http://www.uwex.edu/payroll/lte/. Pay special attention to the document listed as "Payroll Instructions" which is the UW-Extension LTE Regulations & Guidelines.
  2. Make decisions about the specifics of the new hire:
    • Specific tasks and duties for the new employee; specific skills or characteristics you may look for in the new employee,
    • Consult with Bev Phillips about the specific tasks and duties that will be included in the position description (remember, it is NOT appropriate to hire a Limited term employee to do the same work as an academic staff colleague such as a nutrition educator)
    • Hours/week employee will work, hourly salary, how the salary will be split among accounts (if applicable),
    • Talk to your District Director - alerting him/her to your plans.
    • Consult with the WNEP fiscal office - especially Brad McCabe - as necessary.
  3. Complete all required paperwork including "Limited Term Employment Request/Report" (available at: http://oser.state.wi.us/docview.asp?docid=1207 ) and submit completed forms to Brad McCabe, WNEP fiscal office.
  4. Advertise the position vacancy. All ads and information about the position must include the following: "A criminal records review will be conducted for final candidates. In compliance with the Wisconsin Fair Employment Act, convictions and pending charges will be considered only as they relate to this position."
  5. Receive and screen applications for the position
  6. Select candidates for interview
  7. Request that your top candidates complete the criminal record review disclosure form (http://www.uwex.edu/ces/wnep/hire/hiringguide/disclosure.pdf) and submit completed forms to the UWEX Human Resources Office
  8. Conduct interviews with your interview team
  9. Select top candidate in consultation with your District Director
  10. District Director will request UWEX Human Resources Office to conduct a criminal record review on the finalist
  11. Extend tentative verbal offer to the finalist with the understanding that any formal offer of employment is contingent on the results of the criminal record review.
  12. District Director will inform you when the results of the criminal record review are satisfactory for hiring the finalist
  13. Extend formal offer of employment to the finalist
  14. Work with the WNEP fiscal office (Brad McCabe), your District office and the new employee to ensure that all necessary paperwork, as described at: http://www.uwex.edu/payroll/lte/, is completed correctly and mailed to the WNEP fiscal office in a timely fashion to ensure complete payroll records for the new employee.
