Gather records and enter recruiting/hiring data

Gather all your records and completed forms and notes related to this recruiting/hiring process. Complete entering all required data into the Applicant Tracking Database.

The purpose of retaining records related to filling a vacancy is to be able to explain or defend the hiring decision at any future date. These materials also serve as a valuable resource for future searches. The following records must be retained for at least six years:

  • Checklist for Hiring in WNEP
  • Recruitment Plan
  • Position description and announcement
  • Advertisement Copy
  • Application materials used
  • Screening tools
  • Reference check procedures and forms
  • Interview procedures, questions and notes taken
  • List of all applicants
  • Applicant files
  • Reference letters, completed reference forms, notes of interviews with references
  • Correspondence and telecommunications with candidates
  • Record of all decisions made
